Prospective Students
Required Documents (on September 16)
The ILA will collect the required documents right before the Academic Orientation begins. Please make sure to bring the following documents on September 16.
Notes: a: official documents or notarized copies. b: original document. c1・c2: prescribed form.
d: Enter the required information in advance on the Pre-Enrollment Information Website.
a. Certificate of Graduation (Completion)/Withdrawal
・If you submitted a Certificate of Expected Graduation (Completion) at the time of application, you must submit a Certificate of Graduation (Completion).
・If you were a student of another university/graduate school at the time of application, and did not graduate from or complete that university/graduate school, you must submit a Certificate of Withdrawal.
・If you have submitted a Predicted Results/Diploma of the IB, Abitur, French Baccalaureate, GCE A-level, International A-level, or European Baccalaureate at the time of application, you must submit one of the Results/Diplomas mentioned above.
b. Certificate of Items Stated in Resident Register (住民票記載事項証明書Juminhyo Kisaijiko Shomeisho)
It is required for all students. The certificate will be the proof of your residence. Your address, name, gender, and date of birth must be stated in this document. Any household members other than you do not need to be included. The certificate is issued at the ward office or the city hall(区役所 Kuyakusho/市役所 Shiyakusho)in Japan.
For International students coming from abroad
c1.Written Pledge/Notification of Contact Person[Prescribed form]【International Students only】
・Please use the prescribed form that has been sent to you in advance by the Office of International Students (OIS).
・The Contact Person must be the applicant's father or mother(any place of residence accepted).
・The Contact Person must be maintain communication with the university at his/her absence, and to be
responsible for delivering message/information from the university to the student.
c2.Written Pledge(student)/Written Pledge and guarantee (joint guarantor)[Prescribed form]【Non International Students only】
Address notification(Address of Residence in Japan (for ILA))registration on Pre-Enrollment Information Website is also required. Please complete the address notification registration by March 31, 2026. After completing the registration, you will be able to download the “Written Pledge(student)/Written Pledge and guarantee (joint guarantor)” (PDF).
Important note: The fields for the applicant’s name and the joint guarantor’s name must be filled in by hand, and the joint guarantor must also affix their seal.
d.Notification of Address
Enter the required information on the Pre-Enrollment Information Website by September 20, 2026.
If you cannot prepare the documents on September 16, 2026, please notify the ILA office and submit is as soon as possible.

- Register your place of residence at your local municipal office within 14days of arrival in Japan.
- Apply for the above mentioned certificate at the local municipal office. Please note that this certificate is NOT the Resident Register code Number Notification(住民票コード通知書Juminhyo Code Tsuchisho) which will be given upon completion of registration of your address.
